Studying/traveling abroad in the COVID-19 pandemic
Currently, only the three types of studying/traveling abroad below can be approved as exceptional measures in the COVID-19 pandemic at NAIST for destinations is in areas where the infection danger level is level 2 or 3 due to COVID-19.
Please confirm the following information and complete the procedure below before applying for studying /traveling abroad.
- Studying abroad at overseas education and research institutions with which NAIST has academic exchange agreements (only if the student applies for official study abroad to obtain NAIST President's permission pursuant to article 48 of the Regulations of NAIST).
- Studying abroad to obtain a degree including double degree programs
- Studying abroad through programs of Japan Student Services Organization (JASSO), Tobitate! (Leap for Tomorrow) Study Abroad Initiative or NAIST.
Procedures
Please read the cautionary notes carefully, fill in the pre-check sheet and submit it to the International Affairs Division.
This pre-check sheet must be submitted at least two months prior to departure when you need to apply for official study abroad or at least one month prior to departure when you need to submit a Travel Request.
Official study abroad
When applying for official study abroad, students must submit the following documents to the Academic Affairs Section at least 2 months before departure.
Study Abroad Request (Necessary for all official study abroad programs) (word: 38KB) (PDF: 158KB)
In principle, if the planned study abroad term is more than 3 months, students must also submit one of the following documents:
Course Registration Request for Special Auditing Dispatchment Student (For students who will attend classes abroad) (word: 36KB) (PDF: 100KB)
orApplication for Special Research Dispatchment Student (For students who will receive instruction abroad) (word: 38KB) (PDF: 84KB)
Travel abroad requiring Travel Requests
For traveling abroad with a Travel Request, students must submit an Overseas Travel Notification form (word: 32KB) (PDF: 111KB) to their graduate school office.
(Note) When a student travels abroad as a fellow of the Research Fellowships for Young Scientists, Japan Society for the Promotion of Science, he/she should submit the same form.
Please note
- If you will leave your residence for a period of time for private travel, please give your emergency contact information to your family, relatives, friends, research lab, etc.
- If you will travel overseas privately for three months or more, you must submit the Leave of Absence Request and Overseas Travel Notification forms to the Educational Affairs office at least two weeks before departure.
- Before you leave your room for more than three months, you should notify the Student Support Section.
